Built for Commercial HVAC/R Cost Maintenance

Margin Defense provides the recurring vendor-cost review and master-item-list maintenance that helps commercial HVAC/R contractors keep their price books working from current material costs.

Why Margin Defense Exists

Margin Defense was built from firsthand experience inside the back office of a multi-state commercial HVAC/R contractor.

Over five years, Drew Peterson worked with ERP and field-service item catalogs, distributor cost sources, master-item-list maintenance, and gross-profit planning across a commercial HVAC/R operation serving multiple states. The recurring issue was not a lack of price-book software or markup rules. It was the difficulty of keeping thousands of item-level costs aligned with the vendor pricing the business actually paid.

Vendor pricing changes. Part numbers are superseded. Account-specific costs vary. Duplicate and obsolete records accumulate. Meanwhile, internal teams must prioritize dispatch, payroll, billing, customer needs, and urgent field operations. Cost-file review and catalog maintenance can become inconsistent, not because the team does not care, but because the work rarely feels as urgent as the next operational fire.

When item-level costs drift, a price book can continue applying the correct markup rule to the wrong cost baseline. That is how a well-run contractor can quietly give up gross profit across everyday service and replacement work.

Margin Defense exists to own that recurring operational task: reviewing approved vendor-cost data, verifying exceptions, and maintaining the master item list behind an existing price book.

How We Work

01 | Client-Specific Vendor Cost Data

We work from approved vendor and distributor sources connected to your business, not generic price assumptions or broad market averages.

02 | Works With Your Existing Workflow

Margin Defense supports your current price book and field-management process without requiring a replacement platform or a new technician selling workflow.

03 | Documented Changes and Exceptions

We document the vendor-cost changes reviewed, approved updates completed, and exceptions that need your team's decision.

Founder-Led Engagements

Drew Peterson leads each Margin Defense engagement. His experience is operational: ERP and field-service item catalogs, master-item-list maintenance, vendor-cost review, and gross-profit planning within a multi-state commercial HVAC/R contractor.

Drew oversees the onboarding workflow, initial cost-baseline review, and ongoing maintenance standards for the agreed scope. Each engagement is designed around the client's vendor sources, catalog structure, pricing rules, system workflow, and approval process.

Margin Defense can support client workflows involving field-management systems, ERP platforms, or structured master-cost files. Using client-approved, role-based access or vendor-provided cost files, access and delivery follow the agreed implementation process.

A Managed Service, Not Another Subscription

Margin Defense is not another dashboard, price-book subscription, or generic parts database. We do not require you to replace your existing system or rebuild your price book from scratch.

We provide the recurring back-office work of reviewing approved vendor-cost data, verifying item-level exceptions, and maintaining the cost records your price book relies on.

There is no new platform for technicians to learn and no customer-facing selling process to redesign. The work happens within your approved system workflow or through structured update files your team can apply.
